Privacy policy
What Salary PayPack records, why, who can see it and how long it is kept.
1. Who this policy covers
This policy explains how Ashtadasha Tech Solutions Private Limited handles personal information in Salary PayPack and on salarypaypack.com. It covers visitors to the website, the people who run a subscribing organisation's account, that organisation's employees, and our ambassadors.
2. Whose information it is
An employer that subscribes decides which of its employees' details are recorded in Salary PayPack and what they are used for. We hold and process that information on the employer's behalf, to provide the service.
If you are an employee and want to see or correct what is held about you, ask your employer first: it keeps the record. You can also ask for a correction from the employee portal, if your employer has given you access.
3. What is recorded
About a subscribing organisation: its name, registrations such as PAN, TAN, GSTIN and its labour registrations, its address, and the name, email and phone of the people who run the account.
About employees, as entered by the employer: name, contact details, date of birth, gender, family and nominee details, designation, joining and leaving dates, salary, attendance, leave, advances, reimbursement claims and bills, tax declarations and proofs, bank account details, and identity numbers such as PAN, UAN, ESI number and Aadhaar, with copies of documents where the employer uploads them.
About how the software is used: who signed in, when and from which internet address; unsuccessful sign-in attempts; and a record of every record added, changed or archived, with the value before and after.
From the website: what you type into a form, such as a request for a demonstration or an ambassador application.
4. Why it is used
To run payroll and produce the payslips, registers, returns and files the employer needs; to give employees their own payslips and records; to bill the subscription; to send service notices; to keep the service secure; and to meet legal obligations.
News and offers are sent only to those who have not unsubscribed. Every such email has an unsubscribe link. Service notices about your account are always sent.
5. What we do not do
We do not sell personal information. We do not use employees' information for advertising. We do not look at an organisation's data except to provide support it has asked for, to keep the service working, or where the law requires.
6. Who can see it
Within a subscribing organisation, only the people it has given a login to, each within the role it has chosen. One organisation cannot see another's information. An employee sees only his or her own.
Outside it: the companies that provide us with hosting, email delivery and payment processing, only as far as each needs for its part; and authorities where the law requires it.
Card and bank details used to pay a subscription are handled by the payment gateway. We do not store card numbers.
7. How it is protected
Connections to the software are encrypted. Passwords are stored in a form that cannot be read back. A sign-in is locked after repeated wrong attempts, and two-step sign-in is available. Sensitive numbers are masked on screen where the full number is not needed. Uploaded documents can be opened only through a login with the right to see them.
No system is perfectly secure. If we learn of a breach affecting your information we will tell the affected organisation without delay.
8. How long it is kept
Records in Salary PayPack are archived rather than erased, and are kept for seven years, together with the audit trail, because labour and tax law require employers to keep registers and because disputes about wages, tax and gratuity can arise years later.
When a subscription ends the account becomes read-only and the organisation can still download its records. A request to erase information is considered against those legal obligations.
9. Cookies
The software uses cookies that are necessary for it to work: one to keep you signed in, one to protect forms, and, in the employee portal, one that remembers a device you have chosen to use a passcode on. The website loads its fonts from a font service. We do not use advertising cookies.
10. Your choices and rights
You may ask what personal information we hold about you, ask for it to be corrected, and withdraw consent to news and offers. Employees should make these requests to their employer, who controls the record. You also have the rights given by Indian data protection law.

11. Children
Salary PayPack is for employers and their employees. It is not directed at children.
12. Changes to this policy
We may change this policy. The date at the top shows the latest version, and we will announce an important change on the website or by email.
